Before purchasing
Clarify quality standards: Communicate with suppliers to clarify the quality indicators of the product, such as purity, impurity content, physical and chemical properties, etc., and form a detailed specification sheet as an attachment to the procurement contract. For some special chemicals, it is also necessary to refer to the standards formulated by international authoritative standard organizations or industry associations.
Assessing supplier qualifications: Require suppliers to provide qualification documents such as production licenses and quality certification certificates. Conduct on-site inspections of the supplier's production facilities, process flow, and quality control system to determine if their production equipment is advanced, if their production processes are standardized, and if their quality inspection equipment is complete and functioning properly.
In the procurement contract
Agreed quality terms: Clearly define the quality inspection standards, methods, locations, and handling methods for non-conforming products in the contract. If it is stipulated that the inspection results of a third-party authoritative inspection agency shall prevail, and if the product is unqualified, the supplier shall bear the responsibility of returning, exchanging or compensating for losses.
During transportation
Proper packaging and labeling: Supervise suppliers to package chemicals according to international transportation standards, ensuring compatibility between packaging materials and chemicals, and preventing leakage, damage, etc. At the same time, it is required to clearly indicate the product name, ingredients, hazardous characteristics, protective measures, and other information on the packaging to ensure transportation safety and facilitate identification.
Choose high-quality logistics: Select logistics suppliers with experience in chemical transportation and good reputation, ensuring that their transportation vehicles, ships, or planes meet the requirements for chemical transportation and have corresponding protective and emergency response equipment.
After arrival
Timely inspection: Organize inspection as soon as the goods arrive. Professional third-party inspection agencies such as SGS, BV, etc. can be commissioned, or the inspection can be carried out by professional inspectors within the enterprise. According to the quality standards stipulated in the contract, conduct comprehensive testing on the appearance, purity, composition, etc. of the product, and if necessary, retain samples for subsequent review.
Strict acceptance: Conduct acceptance based on the inspection results. If the product quality is qualified, handle the acceptance procedures; If it is not qualified, contact the supplier in a timely manner and handle it according to the contract agreement, such as requiring the supplier to replace qualified products within the specified time, bear inspection costs, and cause losses to the purchaser. At the same time, keep relevant records for traceability and summary of experience and lessons learned.
